CPHI Milan opens on 6 October. If you've ever walked those halls, you know the feeling: tens of thousands of people, thousands of stands, and three days that go by in a blur. Some companies come home with a year's worth of business. Others come home with a bag of brochures, a pile of business cards and a big bill. The difference is rarely luck. It's planning. So here's our take on which pharma and biotech shows are worth your time in the next 12 months, what they really cost, and how to make sure the money comes back.

Want the meetings without the airfare?

  • Buyers: post an RFQ and GMP-certified manufacturers come to you, any week of the year.
  • Manufacturers: list your products so buyers find you between shows too.

First question: what do you want from a show?

This sounds obvious, but most bad trade-show years start here. Shows are good at four things, and each needs a different kind of event:

  • Finding new buyers or suppliers. You need a big supply-chain show, where everyone is in one place: CPHI.
  • Licensing and partnering deals. You need a show with a proper one-to-one meeting system: BIO, BIO-Europe, BIO-Europe Spring.
  • Meeting hospital, tender and government buyers in one region. You need a regional healthcare show: WHX Dubai, Africa Health ExCon, Hospitalar and similar.
  • Seeing existing customers face to face. Any show where they'll be. Honestly, this is often the best return of all.

Pick one or two of these for the year. Then choose the shows that fit, not the other way round.

The big one: CPHI

If you make or buy APIs, excipients, finished generics or contract services, the CPHI family is the centre of the calendar. The main European edition moves between cities. It's in Milan on 6–8 October 2026 and Frankfurt on 9–11 November 2027. The 2025 Frankfurt show reported over 59,000 attendees and more than 2,900 exhibitors from about 170 countries.

What makes CPHI different is that the whole supply chain is under one roof: API makers, CDMOs, finished-dose manufacturers, packaging, machinery and the buyers for all of them. For a generic exporter or an importer looking for new sources, no other week in the year puts so many relevant people in one place.

The same organiser, Informa, runs regional editions that are smaller and often much cheaper:

  • CPHI & PMEC India: 23–25 November 2026 at Yashobhoomi, Delhi, with the machinery and packaging show (PMEC) at Greater Noida on 24–26 November. More than 50,000 visitors in 2025. Visitor passes are cheap: ₹599 early-bird (until 1 October), ₹2,499 standard.
  • CPHI Middle East: 14–16 December 2026 in Riyadh. It was originally planned for May, so if you saw old dates, they've changed.
  • CPHI Japan: 21–23 April 2027, Tokyo Big Sight.
  • CPHI Americas (the old CPHI North America): 25–26 May 2027, and moving to Miami. It's built around pre-booked meetings.
  • CPHI & PMEC China: 16–18 June 2027, Shanghai. The biggest by headcount: the organiser expects over 150,000 attendees.
  • CPHI South East Asia: 13–15 July 2027, moving from Bangkok to Kuala Lumpur.
  • CPHI Korea: 24–26 August 2027, COEX Seoul.

The pharma and biotech calendar, month by month

Here's what's coming up over the next 12 months or so. We've marked what each show is best for, so you can skip the ones that aren't for you.

Which shows suit which business?

You can't do all of these, and you shouldn't try. Here's how we'd think about it.

API and intermediate makers

CPHI Europe is the must-have. Add CPHI China if you compete with Chinese suppliers or buy intermediates there. DCAT Week in New York is worth it once you're selling to regulated markets. It isn't a normal trade show: member companies take hotel suites and hold back-to-back meetings. You need to be invited, or be a member, and the good slots fill up three to four months ahead.

Finished-dose generic exporters

CPHI Europe or CPHI India for partners and licensing, plus one or two regional shows where your target buyers actually are: WHX Dubai for the Gulf, Africa and South Asia; Africa Health ExCon in Cairo, which Egypt's state procurement authority backs; Hospitalar for Latin America; TIHE and KIHE for Central Asia. CDMOs and contract manufacturers

CPHI Europe for volume, DCAT Week for big-pharma sourcing teams, and BIO or BIO-Europe if you serve biotechs. CPHI Americas is now built around pre-booked meetings, which suits CDMOs chasing US clients.

Biotechs and anyone licensing products

This is a different world. You go for the one-to-one meetings, not the stand. BIO International recorded 66,308 partnering meetings in 2025. BIO-Europe had over 32,000 in Vienna in 2025. BIO-Europe Spring is smaller and a bit easier to work. JPM week in January is invitation-only, but a lot of deal talk happens at the events around it, such as Biotech Showcase.

Importers, distributors and tender buyers

Good news: you're the one everyone wants to meet, so your costs can be low.

  • A CPHI visitor pass is cheap next to a stand. For Milan, the Explorer pass is €449 if booked by 5 October. At CPHI India, a standard pass is ₹2,499.
  • Look for hosted-buyer programmes. For iPHEX, the export fair in New Delhi, the Indian government's export council Pharmexcil pays invited foreign buyers' return economy airfare and hotel. In 2026 it hosted 468 international buyers from 128 countries, who held more than 8,500 meetings with Indian exporters. Pharmaconex in Cairo and some other shows run similar schemes.

PMEC (alongside CPHI India and China), ACHEMA in 2027, INTERPHEX and Pharmapack Europe.

What does it really cost?

This is where people get surprised. The stand space is only the start.

Where the money goes

Across US trade shows, the research body CEIR found that exhibit space takes about 40% of the budget. Staff, show services, stand design and shipping take most of the rest. German stand builders use a simple rule of thumb: your total cost will be three to four times your space rent.

Some real prices

  • Space rent: big shows rarely publish space prices; you have to ask. For a sense of scale, MEDICA in Düsseldorf publishes €304–336 per square metre for 2026, with a 12 sqm minimum, plus a media fee.
  • National pavilions are often the cheapest way in because they include a ready-built stand. Pharmexcil's India Pavilion at WHX Dubai 2026 cost about ₹4.85 lakh for 6 sqm and ₹9.8–9.9 lakh for 12 sqm, plus a US$1,590 catalogue fee.
  • Stand building: stand builders quote roughly €300–600 per sqm for a simple modular stand and €600–1,000 or more for a custom build.
  • Hotels: they know when the fair is in town. During Milan Design Week 2026, average hotel rates jumped from about €173 to nearly €600 a night. Book the moment you decide to go.
  • Partnering events: late registration for BIO 2026 was $3,950 for non-members on the full partnering pass. For stands there, BIO charged about $50–54 per sq ft.

Rough budgets

These are our own rough planning figures, not quotes. Prices vary a lot by city, stand size and how early you book.

  • Visiting CPHI Europe from India, 2 people, 3–4 nights: passes, flights, hotel, visa and local costs usually come to about ₹4–7 lakh (roughly €4,500–7,500).
  • Visiting a regional show (CPHI India, WHX Dubai, CPHI Middle East): often half that, or much less if you're a hosted buyer.
  • A small pavilion stand (6–9 sqm) at a regional show: about ₹8–15 lakh all-in, including travel for 2.
  • Your own 18 sqm stand at CPHI Europe with a team of 3: once you add space, build, shipping, samples, travel and hotels, expect something in the region of €35,000–70,000.

If you're an Indian exporter, check for support

The old Market Access Initiative (MAI) ended on 31 March 2026. Support now comes through Market Access Support (MAS) under the Export Promotion Mission. The detailed cost-sharing rules for individual stalls weren't published when we checked, so ask Pharmexcil before you budget. For MSMEs, the MSME Ministry's International Cooperation scheme has covered stall rent and airfare in the past (up to ₹3 lakh for space and ₹1.5 lakh for airfare under the 2021 guidelines). Check whether it's still open for the current year.

So, is it worth it? Working out the ROI

Trade-show ROI is hard to measure, which is exactly why many companies don't bother and keep going out of habit. Here's a simple way to do it.

What the numbers say

  • At CPHI Frankfurt 2025, exhibitors surveyed by the organiser reported about 164 contacts each, and on average expected €1.54 million in business from the show. That's their expectation, not realised sales, but it shows why companies keep coming back.
  • Only around 39% of trade-show leads turn out to be qualified, according to CEIR research.
  • At least 40% of trade-show leads never get followed up, according to a survey by EXHIBITOR Magazine. You may have seen the "80% never followed up" figure; we couldn't find a real source for it. Either way, this is where most of the money is lost.
  • Deals take time. In one industry survey, gene therapy sponsors took an average of 8 months from first contact with a CDMO to a signed contract. Generic supply and licensing deals are often 12–18 months.

A simple way to calculate it

Before the show, write down three numbers: what you'll spend, how many real conversations you want, and what one good customer is worth to you in the first year.

An example with made-up numbers: you spend €45,000 on your own stand at CPHI. You hold 70 meetings, and 20 of them are serious. Over the next 18 months, 4 turn into customers, each worth €60,000 a year at a 20% margin. That's €48,000 of margin in year one: roughly break-even. From year two, the repeat orders are mostly profit. Your cost per serious conversation was €2,250. Compare that with what it would cost to fly to 20 buyers one by one.

If one customer is worth much less than your stand costs, visit instead of exhibiting. Or exhibit at a regional show where your buyers are, instead of the biggest show on earth.

How to make sure the money comes back

  • Book meetings before you fly. This is the single biggest difference. Use the show's meeting app and email your targets 4–6 weeks before. Even booked meetings don't all happen: at CPHI Americas 2025, about two-thirds of pre-scheduled meetings actually took place. So book more than you need.
  • Walk it once before you exhibit. A visitor pass lets you see who's there, which halls are busy and where your competitors stand. Many companies waste their first stand on a bad location.
  • Bring what buyers ask for. A product list showing strengths, pack sizes and which countries each product is registered in. GMP certificates, CoPPs, DMF or CEP status, and your MOQs. "We'll send it later" loses deals.
  • Follow up within a week. Send each serious contact the documents and the quote you promised while they still remember your face. This is where half the ROI is won or lost.
  • Track it. Note which show every enquiry came from. After a year, you'll know which shows pay and which are just habit.
  • Keep going between shows. Shows start relationships, but the business happens in the eleven months in between.

What a sensible year looks like

For most mid-size manufacturers and exporters, a realistic plan is:

  • One anchor show where you exhibit, usually CPHI Europe or CPHI India.
  • One or two regional shows where your target buyers are, as a visitor or in a national pavilion.
  • If you license or partner, one partnering event such as BIO-Europe, BIO-Europe Spring or BIO, where you go for the meetings, not a stand.

For importers and distributors, it's simpler: one big show to find new suppliers, plus hosted-buyer invitations when they come.

That's three to four trips a year. More than that, and your team spends more time travelling than following up.

Make the most of the weeks in between
